How to cut no-shows without being the bad guy
Nothing ruins a good day like an empty chair at 2pm and a client who isn't answering. You blocked out that hour, you turned someone else away, and now you're sweeping a clean floor.
The good news: most no-shows aren't people being rude. They forgot. Fix that and most of the problem goes away.
Why people actually no-show
- They booked weeks ago and it slipped their mind.
- Something came up and cancelling felt awkward.
- They couldn't figure out how to cancel, so they just didn't come.
Notice that only one of those is about the client not caring. The rest are things you can design around.
Send a reminder, every time
A simple reminder the day before is the single best thing you can do. Not a guilt trip, just the facts: your name, the time, the address, and an easy way to change it.
BravaCut sends confirmations and reminders automatically, so you don't have to remember to remind people.
Make cancelling easy (yes, really)
It sounds backwards, but it works. If cancelling means calling you and explaining themselves, people avoid it and just don't show. If there's a link right in the reminder, they'll use it, and you'll find out a day early instead of at the appointment time.
A cancellation with notice is an open slot you can fill. A no-show is just lost money.
Refill the slot
Keep a list of clients who wanted an earlier time. When someone cancels, let the list know right away. Somebody almost always wants it. That turns a cancellation from a loss into a non-event.
Have a policy, and stick to it
Write down what happens if someone no-shows or cancels last minute, and put it on your booking page so people see it before they book. Then apply it the same way to everyone. Clients are fine with rules. What annoys them is rules that change depending on your mood.
Talk to the repeat offenders
If the same person no-shows twice, have a quick, friendly conversation. "Hey, I held that spot for you and couldn't give it to anyone else. Is a different time easier for you?" Most people feel bad and fix it. The ones who don't, you can stop booking.
The short version
Remind people, make changing plans easy, keep a waitlist and be consistent. You'll still get the occasional no-show. You just won't get many.
